How to find a meeting time across time zones
The grid lines up the same 24 hours for every city. The first city is the reference: its hours run 0 to 23 along the top row, and each row below shows what the clock reads in that city at the same moment. Light blue cells are inside that city’s working hours; solid blue columns are the hours when everyone is at work.
Under the grid, the planner lists every hour where everyone is inside their window. If there isn’t one, it lists the hours where the fewest people are outside it, so you can see who would be joining early or late.
Tips for teams spread across the world
- Rotate the pain. If there’s no overlap, alternate between a time that suits one side and a time that suits the other.
- Check the date. Europe and North America change their clocks on different weekends, so a standing meeting can shift by an hour for part of March and October/November.
- Write times with the city. “10:00 London / 18:00 Singapore” avoids the confusion of abbreviations like CST, which means different things in the US, China and Cuba.
Questions
What counts as working hours?
By default 9:00 to 18:00 local time in every city. Change the start and end to match your team — for example 8:00 to 17:00, or a wider 7:00 to 21:00 window when some people are willing to take early or late calls.
Why does the overlap change with the date?
Daylight saving time starts and ends on different dates in different countries (and many countries don’t use it at all). For a few weeks each spring and autumn, the gap between two cities can be an hour smaller or larger than usual.
What if there is no overlap?
Then someone has to meet outside their normal hours. The planner shows the least painful options — the hours where the fewest people are outside their window — so you can rotate who takes the early or late slot.
